Work Experience
Business Admin, Barclay Roofing Ltd.

Main duties included learning about the functions of payroll, accounts receivable and accounts payable as I shadowed the Finance Team. I also learned how to use Outlook to schedule meetings and manage the Finance Director's diary, helping him to set up appointments and schedule Zoom meetings.

Admin Assistant, Barclay Roofing Ltd.

Following a successful work experience week, I was invited back to Barclay Roofing to support with various administrative tasks during my school holidays on a paid basis. During this period, my main duties included administrative support, including scheduling meetings, managing correspondence, sorting mail, and handling phone calls, as well as maintaining and organising accounts files, records of repairs, and other documents.

During this period, as I was becoming more familiar with the business, I was asked to complete more challenging tasks. My duties included assisting with Excel data entry for the Commercial Team, helping them to create a dashboard that showed conversion rate and profitability for each team member. I also assisted the commercial and finance teams by producing a weekly KPI report for the company Directors that showed the performance of each team. This was in addition to general administrative tasks including diary management, call handling etc.

During this period, I continued to collect data about contract wins, profitability and labour utilisation, as well as inputting data from various other sources to create weekly KPI reports for the Directors. I also assisted in report preparation for the Finance Director, who showed me how to use pivot tables in Excel to create charts and graphs that were used as the basis of dashboards used by the Operations and Commercial Teams to check their performance.  â€‹â€‹

During this period, I continued the work that I began in May/June including the collection of data about contract wins, as well as inputting data from various other sources to build out more comprehensive weekly management information KPI Dashboards. The goal was to improve the information that was presented to both the Directors and to the Operations and Commercial teams so that they could spot trends and act more quickly.

 

By the end of this period, I had created an interactive map of the company's most profitable contracts by location and customer type within the company's job costing system, Pegasus CIS. This information further enhanced the weekly KPI dashboards.

During this period, I continued the work I began in relation to data analysis with more emphasis on the workforce, specifically labour deployment levels. As a result of this work, the company was able to ascertain that certain members of the labour force were less productive than others. The Operations team then used this information to calculate the cost to the company and was prompted to manage time and attendance more stringently.

Purchase Order Processing Clerk

During this time I helped the company as it implemented a new Purchase Order Processing System. This was a new project for the company and I assisted the Finance Director and a consultant with data entry, supplier coordination, and the creation of product and stock codes etc. This was a huge project that took almost one year for the company to complete. However, I believe that the 10 weeks I spent on the project helped the team to get through the work faster.

I was also tasked with creating a new system of monitoring the company fleet, which included learning how to navigate Samsara, a fleet management/ van tracker system. I created a means of helping the operations team to know when adverse incidents (crashes, speeding, harsh braking etc.) occurred, as well as setting up alerts for labour force attendance on site. This information was then used to look at how effectively contracts were scheduled and whether more effective coordination could help the company be more efficient and profitable.

Purchase Order Processing Clerk

During this time I continued my work alongside with the finance team as part of the project to implement the new POPs system. This included system testing and creating several 'user guides' which were then issued to all staff as part of a User Manual help role the system out to the wider company.

Commercial Team Assistant

During this time I asked whether I could work alongside the Commerical Team, hoping that I would learn new skills and understand more about businesses operated. As such, I had a one week 'crash course' in basic estimation, learning how to complete take offs, measure accurately and calculate constants etc. I was then able to visit several customers with the surveying team, before assisting them to create quotations.

 

By the beginning of my last week, the Commercial Director felt that I was capable of producing a budget cost for a major client, something that would allow them to assess the viability of a project they were interested in pursuing (a large housing site in North Yorkshire.)

 

I spent a full week doing take offs and pulling costs together, using the POPs system that I had previously worked on to do so. I then applied labour rates and profit and was able to send the budget cost over once the Commercial Director had checked my work.
